How to manage VTC Slots

This is a guide to explain how to manage the slots of your VTC’s events.

Note: Make sure that your role has the correct permissions to manage VTC Slots of your VTC.

Creating VTC Slots

This part will explain how you can create VTC Slots.

1. Menu Button

  • Open the Events Panel of your VTC using the menu on the left of your VTC page.

2. Manage VTC Slots

  • Once on the Created Events menu, click on the View button on the right of the event you want to manage the slots for. View

3. Creating a slot

  • Once on the event you want to manage the slots for, click on the Manage VTC Slots button under the Edit Event button.

  • Once on the Create new slot menu, fill out the necessary information:
    • Slot/Depot Name: The name of the slot or company of the slot.
    • Slot Number: The number of the slot.
    • Which VTCs are eligible to book a slot?: Set which type of VTCs you want the slot to be booked by. This can be for: All VTCs, Verified-only VTCs, Verified and Validated-only VTCs as well as Partner-only VTCs.
    • Image URL: The image URL of the image of the slot. It is recommended to use an upload service like Imgur.
    • Total spaces: How many spaces are within the slot.
    • Available?: Decide whether the slot should be marked as Available or Unavailable.

Deleting Created VTC Slots

This part will explain how you can delete created VTC Slots. Please note that only slots that are not allocated can be deleted. If you want to delete an already allocated slot, you will need to unallocate the VTCs first.

1. Actions Button

  • Head to the Actions section and click the red Delete button. Delete
  • This will instantly delete the slot from the list.

Assigning VTC Slots Manually

This part will explain how you can assign VTC Slots manually.

  • Head to the Actions section and click the blue Allocate button. Allocate

2. Popup Menu

  • A separate pop-up menu will appear. Through a dropdown menu you are able to assign it to a VTC.

  • Through the Comment box you can add a comment if necessary. This will be visible through the notification that the people with permissions get in their notifications menu.

  • Click the blue Submit button and you have successfully assigned the slot to the VTC you selected. Submit


Assigning VTC Slots Through Requests

This part will explain how you can sign VTC Slots through requests.

1. Open requests for slots panel

  • Once a slot request comes in, you can find it under the Open requests for slots panel. Open requests for slots

  • To view a slot request, you hit the blue eye icon to view the request listed under the Action button. Blue Eye

2. Slot booking request

  • Here you can view the slot booking request panel. You can find the Slot Information, Requester’s VTC Information and the Slot Request itself.

  • Under Slot Request you have three options what to do with the slot:

    • Allocate the requested slot
    • Allocate a different slot
    • Decline the request
  • Before you click to allocate the slot, you are able to add any comments or additional information. This is visible to anyone in the requester's VTC who has the 'manage slots' permission. The same applies to event organisers. If the event is organised by an individual, they will also be able to view and respond to the comments.


Removing Allocated VTC Slots

This part will explain how you can remove slots that are allocated to VTCs.

1. Current slot allocation

  • Click the Allocate Button for the slot you want to edit. Allocate

  • Under Remove VTC(s) from this slot you can hit the red bin icon to delete the VTC allocation. Remove VTC(s) from this slot

  • Please note that the VTC owner will be notified of their removal.
